Unless the filters on your computer are really good, youre getting at least an occasional SPAM message in your email Inbox. For most of us, we spend more time sorting through and deleting the SPAM than we care to. In fact, my husband told me tonight that of 30 messages he receives each day on our home computer 29 of them are SPAM.

Sometimes SPAM messages are easily identifiable by their subject lines. Sometimes the senders disguise the messages by using what appear to be either business-related subjects or subjects that imply a personal relationship has already been established. Either way, we know its risky to open these messages-because of their content and because of potential viruses.

Were in the business of doing business. To maintain solid relationships with our clients and peers, writing an accurate and descriptive subject line for each email we send is critical to making our readers lives easier and their work more efficient. Accurate subject lines not only reflect the content of the message; they also serve as a focus statement so the reader can begin gathering information right away.

I was reminded recently of the importance of the accurate subject line. Id contacted a company regarding cell phone service and asked that a sales representative contact me. I received an email some days later from a sales rep that had in the subject line just this one word: hello. Normally I wouldnt open this message. But for some reason I did and found that it was from the person I was eagerly awaiting a response.

All readers, you and me included, approach each email we read with the same question in mind: \”Whats this about?\” We want that question answered immediately. When the writer of the email or document fails to anticipate our question and postpones the answer, most of us become impatient. Our time is precious and each moment valuable. We dont want to waste it searching for the answer to that question. Nor do we want to run the risk of opening an email that will infect our computers.

When we give an accurate subject line, we begin to answer the question Whats this about? Our readers appreciate knowing how to focus their reading and also feel more confident opening emails presented this way.

Help yourself and your readers by being very descriptive in your email subject lines. This is particularly important if you dont have a previous relationship established with the reader. Even if you do, you have probably already experienced how clever and deceptive SPAMers can be.

For an idea of how you can begin to tailor your subject lines to meet your readers needs,

Instead of a subject line that just says \”Report\”

Try: \”Report on (title of report) dated (insert date) for (client)\”

Instead of a subject line that says \”Hello\”

Try: (Your company name) (specific reason for writing)

Instead of: \”Following up\”

Try: Our meeting at X company on

In other words, be as descriptive as possible, making as many connections as you can to previous contact or work youve done with the reader. If the sales person that contacted me had put in the subject line: your request for XYZ Company phone service upgrades Id not have had ANY questions whatsoever about opening his email.

We cant afford to be cavalier, coy, or questionable in our emails. Giving our readers an accurate, descriptive, and informative subject line helps our readers feel more confident in opening our messages, more receptive to our content, and more willing to respond when we answer the question Whats this about.

While pop-up blockers can be very useful pieces of software, they can also cause no end of problems. Sometimes you actually want a pop-up, and the pop-up blocker will block it. What should you do in this situation?

Well, if you have a decent pop-up blocker, it shouldnt be that much of a problem. The best ones can be configured to only block pop-ups that appeared without you clicking a link, while even the simplest will generally allow pop-ups through temporarily if you hold down the Alt or Ctrl key while you click.

However, the fact that many pop-up blockers deactivate themselves when you click has recently been exploited by crafty pop-up companies, who have altered their scripts to launch a pop-up when you click somewhere within a page, such as on a scroll bar.

Good pop-up blockers can also be configured on a case-by-case basis allow no pop-ups from one site, but allow all the pop-ups from another. This allows you to make a whitelist of ad-free sites you visit often and want to accept pop-ups from, and a blacklist of sites that are using devious pop-up techniques and should be blocked from opening pop-ups entirely.

Ultimately, however, the proliferation of pop-up blockers is gradually killing pop-ups altogether, both for advertising and for non-commercial uses after all, whats the point in displaying something that most people will never see? In the advertising arms race, the pop-up battle has more-or-less been won, and the advertisers are moving on to new, even more annoying ads.

One of the most popular options for intrusive ads at the moment is known as the slider its an image, often a Flash animation, that slides across the page and stops in the middle. Much like pop-ups, they obscure the text behind it, but they are much harder to close or block. If you want to defeat these ads, you have to bring out the heavy artillery.

Last year I came across a poster on Yahoo! Answers asking for advice on a strange e-mail she received. According to this poster she received a reply from someone on an e-mail she never sent. She immediately thought that the spammer hacked her e-mail account, sent an e-mail to himself and then replied to it. This is not impossible, but there are easier ways to do this, without hacking an e-mail account.

E-mails are plain text documents and can be modified and manipulated with a simple text editor like Notepad. The spammer simply saves any e-mail to a file, opens it with Notepad and puts your e-mail address in the From field. The spammer then imports it into an e-mail client and replies to this manipulated e-mail. This is only one of many ways to manipulate an e-mail message.

Spammers normally use a technique called hash busting. Hash busting is when you add random text at the beginning or at the end of an e-mail. The text makes no sense and consists of excerpts from books, articles and news bulletins. This text randomises the size, as well as the contents of the e-mail, making it hard for spam filters to find a pattern in the e-mail to base its filtering decisions on. For instance, an e-mail consisting of an image only will normally be flagged as spam, but if someone adds random text below the image, it changes the pattern of the e-mail and the spam filter can no longer use the criteria mentioned earlier to label the e-mail as spam. There are legitimate e-mails like this and the spam filter needs additional training to know which e-mails with embedded images, containing text below the image, are spam and which ones are not.

Some spammers realised that people became suspicious of the senseless text in spam e-mails, so they started to hide the text by making the colour of the text the same as the background colour. Other spammers make the size of the text so small that it appears like a horizontal line between paragraphs or at the bottom of the e-mail. The techniques used to conceal the hash buster text are easily detectable by a good spam filter because no decent person will send someone else an e-mail with hidden text or text that cannot be seen with the naked eye. So the spammers fail more often to get their e-mails through the spam filters when they use cloaking techniques like this.

Spammers needed a way to make the hash buster text look legitimate to the user as well as the spam filter. This is when they came up with the idea of pretending to reply to an e-mail message that was never really sent to them in the first place. The spammer creates the forged e-mail with hash buster text and then replies to it. The spammer still enjoys the benefits of the hash buster text coupled with a better chance to get past any spam filter, because the e-mail appears like a legitimate reply to a previous e-mail sent by the victim. A reply to an e-mail you sent to someone else is seldom unwanted and the spam filter will therefore be less suspicious about it, unless it contains specific keywords and phrases that trigger the spam filter.

But there are more consequences for the victim than just a spam filter not being able to filter the e-mail as spam. Spammers can include anything in these fake e-mails. They can even pretend that you enquired about one of their products. Instead of spamming you with an unwanted e-mail, they pretend to send you a reply to your initial enquiry, an enquiry you never sent. Abuse departments can easily use this as an excuse not to take action against the spammer. They may argue that the spam victim did not receive an unwanted commercial e-mail, because the victim enquired about something and the accused simply replied to that enquiry. Luckily abuse departments need to prove that the original e-mail was really sent before rejecting the complaint, but we all know that very few abuse departments actually take any spam reports serious these days.

It is because of the lack of proper legislation and poor implementation and enforcement of existing legislation that we have to deal with waves of spam every day. We are constantly one step behind cyber criminals and our current spam filters cannot keep up with all the tricks and techniques used by spammers to force their junk down our throats. There is a widespread appeal for better filtering and alternative communication methods. There is merit in developing better spam filters, but how do you replace a communication medium like e-mail without disrupting individuals and businesses that depend on it every day to stay in contact with friends, family and clients? Whats the use of taking away a communication medium if you do not take action against the individuals who abuse it? It will only be a matter of time before spammers start to abuse the system replacing e-mail. You need to take action against the root of the problem and not the infrastructure through which the problem occurs.

If you want to block spam mail more specifically, you can just block certain mail depending on what words are stated on their subject line. It is such a simple task. You have to click on Email Filtering first, and then click Add Filter. After you have done so, the first drop down box will come out, and inside this drop down box, you click Subject.

A second drop down box will show, wherein you must click Contains. And yes, just like you have predicted, there is also a third drop down box. In the last drop down box, you should type Stop Pay, or whatever word or phrase it is or are that you want to block. When these words are in a certain mail, they will not be able to enter your inbox. This method is usually used to avoid receiving any obscene mails that are just completely adored by perverts.

However, this method must be paid attention to because it is really case sensitive. So if you type prostitute, it may not have the power to block the word prOsTiTutE. After you have finished these tasks, click Discard. After clicking Discard, click Activate. That is, however, not the last \”Click\” you must perform, you still have to click Go Back.
